Add a picture to your mails in Outlook 2010

If you're lucky enough to work for an organization that has adopted Office 2010 and Exchange 2010 since the business launch a few weeks back (or participated in the beta), you may have noticed the appearance of your coworkers' pictures at the top of their mails to you.

This is a great feature for a number of reasons: company security to help ensure a person is who they say they are, and to guard against personal insecurity by helping you identify new people (or those who you feel foolish for having forgotten!) at meetings.

If your company already has a picture database and has synchronized it to the Global Address List, you'll already be in there. However, some companies may not automatically add pictures or there may be some accounts that lack them. If so, you may be able to add a picture for yourself.

The recommended picture is 96x96 pixels with a small file size, say 10K or so. If you have a picture that you want to optimize, try using Microsoft Office Picture Manager to crop and shrink it as needed.

To add a picture (if your organization supports it), click on your name in an e-mail addressed to you. This is the fastest way to open your Contact preview. Click Open Contact to display your full contact information. Now double-click the generic picture icon:

Generic Picture Icon

You'll be prompted to locate the picture you want to use. Find something appropriate for work, ideally a recent close up of your face. Then click Save & Close and you're done.

  • How to enable this facility on the Exchange level?

I mean that currently nothing pops up when we double-click on the generic picture.

  • Thanks a lot, this was driving me nuts.

  • I added a picture of myself in my contacts however my company loaded a photo database to the global address list.  I don't want to use that picture I want to use the photo of my choosing.  Can I override the global address photo?

  • Thanks for the info, very valuable.

  • Hi,

This does not work for me, when i double click the generic picture outline, nothing happens, as if it's locked.

  • Hi, I can not double click on the egenric picture icon. What can be the problem and how can I solve it?

    Thanks a lot :)

  • How do I add my Compnay Badge Photo to my emails?

  • Nothing happens when I double click the generic picture. Does that mean that it requires an administrator?

  • Bless you! I've been trying to figure out how to change my photo from the company one that was automatically uploaded and couldn't figure out how to do it.

  • Thanks a lot for the info. Really helpful

  • This doesn't work. When I click my name in an email addressed to me, it pulls up my contact card. I cannot double-click the picture. I have to save myself as a contact before I can edit the picture. This may be because my company does not allow it, but why would I be able to add the picture in the actual contact?

  • Great directions - thanks.  Now I don't like the picture I put in there.  I'd like to change it.  When I follow your instructions to ADD a picture, and I click Open Contact, now there is no generic icon - now there is the picture I recently added.  When I double-click on the existing photo, it does nothing.  Soi I can't replace it.

Any ideas yoiu could offer would be much appreciated.

  • This doesn't work when you have Lync integrated into your network.

  • This just uploads your photo in your local copy. If you send mail to anyone your image will not appear there.

  • This works great for adding pictures to your names in your contact list.

But how in the world do you add your own personal picture, many would like to know that, thanks MS for making thinks so dam complicated for no dam good reason
